Job Summary 岗位概述
Provide full secretarial and administration to
the General Manager’s Office.

Duties & Responsibilities 职责义务
1. Maintain the strictness confidentiality on all
matters relating to Marriott Hotels and Resorts, including all other internal
matters directed to the General Manager’s Office and the Hotel.
严格保密所有关于万豪酒店及度假村的事件,包括其他所有酒店内部有关总经理办公室和酒店的事件
2. Provide full PA and secretarial assistance to
the General Manager as follows:
为总经理提供全面的私人助理及文秘工作,具体工作如下:
- Reply to general enquiries, draft letters,
memos.
回复总经理的询问,帮助总经理起草信件,备忘录
- Take dictation in shorthand according to
GM’s instruction.
快速记录总经理的需求
- Take minutes for those meetings chaired by
General Manager.
记录由总经理主持的会议记要
- Maintain
an efficient filing and Trace system.
维持有效的文件归档及查找系统
- Organize
GM’s daily diary and arrange appointments independently.
独立安排总经理的工作日志并安排相关预约
- Answer
all phone calls in the GM’s Office projecting a pleasant telephone manner.
以规范的电话礼仪方式接听总经理办公室的电话
- Screen
and categorize daily incoming mails.
将总经理的一些日常信件进行分类
- Ensure
proper and efficient distribution of internal and external correspondence.
确保内部和外部信息的良好沟通
3. Liaise with Department Heads and associates in
relation to necessary follow-up on queries, deadlines, requests and special functions
instigated by the General Manager
与部门领导及和一些同事保持联络,这些同事通常是与跟进问题,任务截止日期,需求及总经理提及的特殊职能部门的联络者
4. Liaise with the Executive Committee members to ensure
reporting deadlines to Division/Regional Offices and Owners Representatives are
met.

5. Coordinate Monthly Management Report to ensure
Regional deadlines are met.

6. Coordinate holiday arrangement for the General Manager.

7. Assist Department Heads with preparation of
correspondence in answer to guest queries and complaints.

8. Ensure compliance with legislated health and safety
requirements within the workplace.
确保在工作场合能遵守卫生和健康相关的法律要求
9. Comply with all Corporate and Hotel Standards and
Procedures.
遵守集团和酒店的标准及制度
10. Promote by example the principles of “The Power
of Service”.
以以身作则的原则来提升自己
11. Actively promote a work environment, which
cares for guests and associates alike.
在工作中关爱客人和同事
12. Prepare “Manager on Duty” roster.
准备每月的值班经理执勤表
13. Responsible for all activities performed by the Office Assistant.
负责出席所有行政助理应该参加的活动
14.Attend meetings such as Department Head
Meeting, Executive Committee Meeting and any other when requested.
按要求参加部门经理会议和行政会议等
15. Take minutes of attended meetings, accurately
transcribe and circulate to relevant persons as soon as possible after the
meeting.
正确记录会议并及时传送到相关人员
16. Receive visitors and guests. In the absence of
the General Manager, answer questions and concerns and follow through
resolutions.
接待来访者和客人,在总经理不在时回答客人的问题、帮助客人排忧解难
17. Assess priorities of work and, wherever possible, assist in organizing
General Manager’s priorities
根据各项工作任务的重要性帮助总经理安排工作
18. Demonstrate essential overall knowledge of the
organization
充分了解饭店规划
19. Understand the responsibilities of other
sections and departments and cooperate with them
了解其他部门的工作职责并与部门合作
20. Adhere to the
hotel’s security and emergency policies and procedures
坚持饭店安全制度、紧急情况处理规定和程序
21. Demonstrate professional attitude and behavior at all times
任何时候表现出职业态度及行为
22. Ensure all reporting
and servicing deadlines are met on a timely basis
确保所有报告和服务都按时完成
23. Carry out other tasks as directed by your supervisor
完成你上级交待的其它任务
24. Follow all company policies and procedures.
