1. Handling of events 活动
· Ensure that all catering files are passed on from Sales to EM timely. · 确保所有活动文件都能及时分配到宴会统筹团队成员手中,在客人到来时组织迎宾工作并确保他们的要求被满足
· Be proactive in assisting the customers to finalize all the details of the event such as timing of the event, menus, set up of function space, use of AV equipment, lighting arrangements, form of payment, car park arrangements etc.· 主动协助客人最终确认活动细节,包括:时间,菜单,场地布置,视听设备使用,灯光安排,付账安排及停车安排等等
· To oversee all functions till the end and make sure that all bills are settled according to the agreed form of payment. · 全面关注和参与安排所有活动的进行直至活动结束,特别要确保所有账目根据合同协定的方式结算完毕
· Ensure that all BEOs are issued with correct information and send to concerned departments timely. · 确保所有BEO上所有信息完整和正确,并且能及时发放到每个相关部门
· Make sure that all information is updated in the system at the end of each function. · 确保所有活动都能在活动结束时,及时在系统内更新信息和数据
· Participate in pre-convention meeting for large scale or important functions. · 参加所有大型活动或重要活动的前期总协调会议
· Ensure that the catering daily sheet is sent out to all concerned departments every day. · 确保每天将未来一周宴会活动名单及时分发到各个部门。
· Organize briefing or meeting with catering team daily. · 每日安排一次和宴会服务部进行的宴会统筹会议
· Organize BEO meeting with the other concern department weekly. · 每周安排一次有其他相关部门参加的BEO会议
2. Follow-up and Feedback 活动的跟踪及反馈
· Keep good communication with customers at any time during the activities, then get feedback from them and follow up in time. · 在宴会活动中随时保持与客户的良好沟通,得到客人的活动反馈并及时予以跟进
3.Coordination with suppliers 供应商
· Manage the day to day liaison with suppliers including suppliers for flowers, AV Equipment and wedding decoration. · 管理和联系指定的供应商,包括鲜花供应商,视听设备供应商,主题装饰供应商,婚庆供应商等
4.Prepare periodic reports 准备报表
· Participate in the preparation of monthly report and other reports according to business needs. · 根据不同的分析需要,按时完成各种月度报表
