Ensure that the day-to-day administrative needs of
the department are fulfilled.
确保部门的日常行政需要。
·
To ensure the efficient administration of the
Executive Office.
确保行政办公室办公的高效性。
·
Perform the duties within the framework defined by
the norms of the Company and within the Hotel’s internal regulations.
履行由公司的制定职责规范及酒店内部的规章制度。
·
To assist directly the General Manager and EAM in
his responsibilities.
协助总经理及行政助理经理的工作。
·
Keep confidential information CONFIDENTIAL.
确保信息的保密。
·
Responsible for rendering secretarial and clerical
services for the General Manager and EAM as required.
根据总经理及行政助理经理的要求提供秘书服务。
·
To record and transcribe minutes of meetings.
记录并编译会议纪要。
·
To prepare respective schedules and reports that
will be internally distributed or submitted to Accor Head Office laid down by
the General Manager.
准备由总经理制定的分发给各部门的时间表及报表,并提交给雅高集团总部。

To draft routine or simple correspondence as
assigned.
起草日常信件或指派信件的提纲。
·
To take down and transcribe the minutes of meetings
such as Executive Morning Briefing and dictation from General Manager and EAM,
etc.
负责会议记录如早会简要和总经理及行政助理经理的命令等。
·
To type correspondence, memorandums, circulars,
report etc.
打印信函,备忘录和报告等。
·
To prepare correspondence such as fax, letter, memo,
complimentary voucher, etc as assigned with a coding system for tracking.
做一些通讯工作,如传真、信函、备忘录、免费券等的分配并设置代码系统进行追踪。
·
To open/dispatches mail relative to the division.
按照部门分发信件。
·
To open and dispatch mail that relates to the
department.

To maintain office supplies stock.

To perform special duties in relation with the
division when requested.

To keep herself acquainted with the General
Manager’s and EAM’s activities in order to assist in discerning priorities.

Input data into computer system as required.
按照规定将数据输入电脑。
·
To arrange appointments for the General Manager and
EAM, reminds him of appointments and meetings.
安排总经理及行政助理经理的约会,并做好会议与约会的提醒。

To handle incoming/ outgoing telephone calls and
faxes.
处理打入及打出的电话和传真。
·
To handle all contact listings such as Owner
contacts, Accor contacts,
Hotel contacts and other supplier companies, etc.
处理所有的联系人名单,如业主联系人、雅高集团联系人、酒店联系人和其他供应商等等。
·
To handle the leave application records of all
executive and management such as annual, sick, public holiday and Manager and
Executive on Duty compensations.
处理所有行政和管理层的请假记录,如年假、病假、法定假期及补休。
·
To control and monitor the in-house transportation
records, reports, maintenance record as well as to follow up the attendance and
request for overtime of the drivers.
控制及监督酒内部的用车记录、报告、维修记录并跟进司机的出勤及加班情况。
·
To file and maintain the personal files of
executives kept in the Executive Office as well as to file respective documents
based on the coding system.
保管和维护保存在行政办的行政委员会成员的个人档案,并按照编码分类保存。
· Update and manage the corporate representation and social media channels
as per corporate policies and guidelines. Drive online exposure to hotel
website.
· 按公司政策和指导方针更新和管理集团和社会媒体的渠道,提升酒店在社交媒体上的积极曝光度。
·
Creation of proper online channel and social media
channel checklist.
制作正确的线上渠道及社交媒体渠道检查表。
· Ensure the monitoring and active respond of the corporate social media
and review site tool. Ensuring consistent representation of the brand.
· 确保监控和积极回应企业社交媒体和网站的评论,确保与品牌宣传相一致。

Ensures that hotel presence in all approved online
distribution websites are up to date and in line with the hotel branding and
corporate policies and guidelines

·
Monitors and manages the hotel’s online brand
sentiment using the reputation monitoring tool to identify operational challenges
that affect ratings and report them to senior management and related department
for action. Follow up action plan execution accordingly.
利用在线声誉管控工具监控和管理酒店的在线品牌人气,识别影响分数的挑战因素,汇报至管理层及相关部门,以制定行动计划并跟进行动计划完成情况。

Based on Online Feedback and Trends; liaise with PRM
and propose “Online Marketing Activity” to PRM and DOSM to help drive traffic
to hotel.
根据线上回复和趋势,在公关经理及市场销售总监的帮助下提出“线上市场活动”,提升酒店在线活跃度。
·
To perform special duties as required by the General
Manager and EAM.
完成总经理及行政助理经理安排的其他事务。
Knowledge and Experience知识和经验
·
College degree or above.
大专以上学历
·
2 years or above Secretary experience. in the area
of recruitment at 4 or 5 star international hotels
两年以上四星或五星级国际品牌酒店文秘工作的经验
·
Fluent oral and written English.
有良好的英语能力
Competencies 技能
·
With capability of
communication and coordination
有较强的沟通协调和管理能力
·
Work honestly with strong
responsibility, fairly handle matters
