1. Administration
行政范围
· To attend weekly MICE meeting
· 参加每周的会展会议
· To follow up all feedbacks of all MICE groups
· 跟进所有来自会展团队的回馈
· To prepare reports for all MICE groups
· 为所有会展团队准备报告
2. MICE/Sales related duties
会展、销售有关职责
· Answer incoming enquiries for Catering Office
· 回复所有宴会销售部门办公室的查询
· Participate Hotel hosting functions & marketing activities
· 出席所有酒店的主办的宴会和市场活动
· To assist co-ordinating Wedding Expo details
· 协调婚展具体事宜
· To co-ordinate with group co-ordinators for room reservations
· 协助整个预定团队的协调员工作
· Verify rooming list in Opera to ensure accuracy before guest arrival
· 在客户到达前,验证Opera上所有客房清单以确保准确无误
· Double check & co-ordinate with Front Office for room status and room assignment
· 复查并协助前厅部门确定房间状态和分配情况
· Chase deposit for MICE groups
· 跟踪会展团队的保证金支付
· Chase rooming list for MICE groups
· 跟踪会展团队的客房清单
· To co-ordinate with Front Office for master bill arrangement
· 协助前厅部门完成总账单的分配工作
· To handle urgent requests for MICE groups
· 处理会展团队的紧急需求
· To distribute MICE group resume
· 分配会展团队的简历
· Preparation of pre and post event arrangement
· 准备活动前后的安排
· Perform other sales related duties assigned by Director of Catering
· 确定宴会销售总监要求的其他与销售相关职责被执行
3. Communications
· To disseminate correct messages from Director of Catering to all colleagues
· 向同事正确传达宴会销售总监的简讯
· To communicate departmental issue with Director of Catering
· 与宴会销售经理沟通部门中需要解决的问题
· Attend daily briefing session
· 参加每日简会
· Coordinate all the last minute changes for all events to other department concerned
· 提请其他部门协助完成所有活动中最后的更改
· To work closely with Conference & Event Manager for event logistics co-ordination
· 与会议服务经理紧密工作,协调所有活动的后勤工作
4. Personal Training and Development
· To conduct orientation for new staff regarding filing, telephone and voicemail system, office general policy and procedures, MICE co-ordination matter
· 为新员工进行入职培训,包括文件,电话,语音信箱系统等,并向他们提供一般条例及程序,展会协调事务等文件
· To develop personal individual career goals
· 建立个人事业发展目标
· Perform any duties assigned by the Management deemed necessary.
· 执行任何管理层委托的工作。
REQUIREMENTS 职位要求
1. Education 教育学历
§ Higher Diploma or equivalent professional hotel training or secretarial course is preferred.
§ 高校或同等学历的专业酒店培训,或者秘书课程为宜
2. Experience 经验
§ Preferably with 1 year relevant working administrative experience, preferably in Front Office/catering department
§ 希望拥有1年相关行政工作经验,特别是前厅部门或宴会销售部门为佳
3. Job Skill / Knowledge 工作技能 / 知识
§ Well versed with computer and strong knowledge in office administration
§ 熟练掌握电脑知识,并具备很强的办公室行政知识
§ Knowledge in Delphi/Opera
§ 具有一定的Delphi/Opera知识
§ Hands on experience in handling different events
§ 掌握处理不同活动的工作经验
§ Basic hotel operation background, preferably in Front Office & Reservations
§ 基础的酒店运营背景,特别是前厅部门和预定部门为宜
4. Computer Knowledge 电脑知识
§ Knowledge of MS office software
§ MS办公软件知识
5. Language Proficiency 语言能力
§ Proficiency in English and Putonghua is a must
§ 必须熟练掌握英语与普通话
§ Excellent communication skills in both written & spoken English
§ 口语与书面英语都具备优秀的沟通技巧
