• Participate as a member of management and advice on the administrative implications of all matters.

• Being reviewed and give comments as required. Ensure that the day to day administrative needs are fulfilled.

• Responsible for rendering secretarial and clerical services for the General Manager. Maintains professional business confidentiality.

• Provide full coordination, supporting and assistance for any requests by the Hotel Owners as well as the management and staff of Accor.
为酒店拥有者,管理层和雅高员工提供全面协助和支持。
• Monitor all regular financial issue of department and assistant team to well control cost.
监督部门的日常财务类工作,协助部门完成成本控制
• Supports operations and assists in achieving team member and guest satisfaction goals
支持营运并且协助完成团队成员和顾客满意的目标。
• Interacts in a positive way with all team members to ensure a luxury guest experience
运用积极的方式与团队成员互动来确保奢华的顾客体验。
• Greet and be generous to all guests and colleagues and always willing to offer assistance
问候和慷慨地帮助所有的顾客和同事,并且总是主动提供协助。
• Drafts routine or simple correspondence as assigned by the General Manager.
起草总经理要求的程序和简单的信件。
• Type’s correspondence, memorandums, circulars, reports etc.
输入有关程序,备忘录,通告和报告等。
• Responds to the in-coming emails of the Hotel email address :

• Opens/dispatches mail and email relative to the division and other department heads.
打开/整理一般邮件,电子邮件给相关分部和其它部门领导。
• Precede the reservation confirmation to the guests of GM, as directed by GM.

• Maintain office supplies.
保持办公用品的供应。
• Performs any other valid secretarial duties assigned by the General Manager.
处理其它总经理布置的秘书工作。
• Attend the Morning Operations Meetings and Weekly Operations Meeting, keep records and transcribes minutes of each meeting, as well as chasing up each task with all concerned directors/managers, on behalf of General Manager, as mentioned in the meetings.
参加早会和周会,负责记录和抄写,代表总经理提醒会议中有关总监和经理所需处理的事务。
• Furnishes the General Manager Monthly Comments / Analysis Report and submit to the Accor Head Office on a timely basis. Keeps filing of the Executive Office in a systematic way.
为总经理准备每周评论和分析报告,及时递交到雅高总部,并系统记录在行政办公室。
• Keeps and maintains the personal files of all the Directors and Senior Managers level 1 up-to-date and in an efficiency way.
有效地保持总监和高级经理的每天的个人档案。
• Coordinate with the Accor Head Office and prepares Letter of Intend and Employment Contract for all Hotel Expats and submit to the Owner Company for approval and signature, and copy one set of the approved one to the Accor for reference.
协调雅高总部准备酒店所有外派人员的合约,传递到业主部门给予批准和签名,为雅高复印一份以备份。
• Prepares IMS Application Form for new Hotel Member (Expat) and submit to Incorporated Medical Systems Ltd. (IMS) in Hong Kong for proceeding the Medical Insurance of the new Expat member,as well as proceeding resignation form upon their leaving the hotel service.
为酒店的外派新成员准备IMS申请表和输入到医疗系统,在香港的IMF会处理外派新成员的医疗保险,同时处理他们离开酒店的辞职申请。
• Prepares Reference Letters/Certificate for Management level staff who are leaving the hotel service.
为离开的管理层准备参考信件和证明。
• To coordinate with Purchasing Manager and Director of Finance and Admin in the control of all Purchase Request and Purchase Order of all CAPEX items, and to ensure that they are under control within the budget, as well as proceeding the documents to get the approval from the owners before proceeding the purchasing of each Capex item.
为采购经理和收益总监在CAPEX项目上的要求和订单作行政和协调,和确保它们可以在预算之内,还有在处理CAPEX项目的采购前获得业主的许可。
• To assist the Directors, Senior Managers & all Hotel Expats for the reservation of Air Ticket and Hotel Accommodation in the Accor Hotels Worldwide, in relate to their Annual Leave, Home Leave and Business Trip only.
帮助总监,高级经理还有所有外派酒店成员相关的年假,事假,公假,在全球雅高预定机票和酒店。
• To coordinate and assist the secretaries and management of Owner Company on their requests i.e.SSB Hotel Accommodation and Restaurant Booking, Accor Hotels Accommodation Booking etc.
为业主方的SSB酒店住宿和餐馆预定,雅高酒店的行政和管理工作预定提供协助。
• To communicate with the other Accor Hotels on behalf of the General Manager in all matters as directed by GM.

• Contribute to overall operational of Executive Office efficiency by performing discretionary relevant duties.

• Use your supervision skills effectively to encourage and motivate hotel staff.

• Establish good public relations with all guests and the management and staff of the owners ‘companies and Accor Head Office and worldwide, as well as SSB hotel management members and staff.

• To study and update information about the hotel industry and relevant information to the hotel operation。

• Inputs in the computer specific data when requested.

• Handles telephone incoming/outgoing calls of Executive Office in an efficiency way.

• Arranges appointments for GM, and reminds of appointments and meetings.

• Responsible for the good order/cleanliness of own work area, equipment and Executive Office.

• Gives some consultant, comment and assistance to all managers and other secretaries in all related hotel administrations and operations matters upon requested.

• Requires attending training courses provided by training department at least 3 hours a month.

• Handle all guests’ queries in efficient manner and to establish an amicable relationship with all guests of the Hotel, staff and the management of SSB, Owners Companies and Accor.

• Handles suppliers when requested.

• Having a good working relationship with all Directors, Managers, colleagues and employees of the hotel. Handles human relation’s duties for employees and establishes effective employee. Sees that management and employees’ complaints and needs are passed on to the GM.

• Maintain a good relationship and provide good coordination and supporting to the staff and management of the Hotel Owners’ Companies and the Accor Head Office.

• All ambassadors are required to comply with every reasonable request from their hierarchical supervisor(s) within an amount of time that it takes to comply under normal circumstances.

• All ambassadors may be assigned to other duties in the hotel as and when required by business levels.
