Your day to day
· General telephone coverage including answering of general inquiries and redirecting of phone calls to relevant functions
· Update telephone directories in public drive
· Update staff birthday list and chart
· Greeting, directing, and notifying the relevant functional heads/assistants of visitors to Shanghai Support Center
· Take the responsibility of visitor registration and contact handling process, which have been implemented in Shanghai Support Center
· Receiving of courier services and other deliveries and liaise with courier companies for picking up of outgoing packages
· Sorting of incoming mails, newspapers, packages and making internal distribution
· Assist in receiving and distributing office stationeries requisitioned by the functions
· Take control of the office main gate, LED screen and welcome screen at 2F
· Daily supervision of the cleaners to ensure that the 2F mail room, open lounge, pantry, reception area and meeting rooms are neat and tidy always
· Overseeing the shared storage rooms, including storage room key in and out tracking, cleaning
· Office pantry supply management, distribution, place orders
· Other office general administrative work, e.g. name card printing, copyroom facility maintenance, related payment handling and office event support asrequested
What we need from you
Education
· College degree or above
Experience
· Minimum 1-2 years’ reception, administrative support or customer service experience required
Technical Skills and Knowledge
· Detail oriented, responsible, adherence to deadlines
· Effective communication skills in oral and written
· Good oral, written English and strong interpersonal skills
· Good office automation skills
